Portal, Integrator, Integration: Which One Is Right for You?
E-Invoice Integrator Selection
There are three ways to issue e-invoices, and the lowest cost is not always the most suitable. We compared the three methods and listed the questions you should ask when choosing an integrator.

The second decision you need to make when transitioning to e-Invoicing comes right after getting your financial seal: where will you issue your invoices?
There are three paths, and the difference between them isn't just price.
1. Revenue Administration (GİB) portal
The Revenue Administration's own interface. It's free and straight from the source.
It has limitations: every invoice is entered manually, item by item. Your product and customer information is not stored in the system, and it has no connection to your basic accounting. Also, portal usage can be restricted once you exceed a certain number of invoices.
It makes sense for very small businesses that issue just a few invoices a month. If your invoice volume exceeds a few a week, manual entry quickly becomes exhausting.
2. Special integrator
Sending and receiving documents through a service provider authorized by GİB. The vast majority of small and medium-sized businesses use this route.
The advantage is that the technical side never really lands on your plate: the seal is defined in the provider's system, sending and receiving happen in the background, and archiving is included in the service.
The real gain is the connection to your basic accounting: the invoice is generated directly from the sales record. Current balances, stock, and VAT are updated simultaneously. You don't have to enter the same information in two different places.
Pricing is usually based on a quota: you purchase a specific number of document rights per year.
3. Direct integration
Connecting your own system directly to GİB. It requires a technical team, continuous maintenance, and a specific document volume.
It's not a sensible option unless you are a large enterprise generating thousands of documents a day. You also have to handle adaptations yourself whenever regulations change.
Questions to ask when choosing an integrator
What happens when the quota runs out? Do you become unable to issue invoices, or is an additional package assigned? This question is critical during peak season.
Do incoming invoices count against your quota? In some packages, only sent documents count; in others, received documents are counted too.
How do I access the archive? Can you download XMLs in bulk? This is the most crucial question when you consider leaving. We covered this risk in our e-document retention article.
Which document types are supported? You might only be issuing e-invoices today; can you continue with the same provider when the need for e-waybills, e-Receipts for Self-Employed, or e-producer receipts arises?
How does it communicate with basic accounting? If issuing an invoice means going to a separate screen and re-typing information, it means you're doing double the work.
How is support provided? Who do you reach out to when an invoice fails to send, and how quickly? At the end of the month, the answer to this becomes extremely valuable.
Changing your integrator
Switching is possible and much more common than you might think. Pay attention to two things during the process.
First, date planning to avoid losing documents during the transition. The new provider should go live before the old one shuts down.
Second, downloading the entire archive before leaving. The responsibility for retention remains with you, and it's not always possible to request them later.
Frequently asked questions
Can I start with the portal and switch to an integrator later?
Yes. Most businesses follow this path. Just remember to download your documents from the portal during the transition.
I have multiple companies, is a single account enough?
A separate tax liability and seal are required for each company, but it is possible to manage them from a single dashboard. Check out our managing multiple companies article.
Can I issue invoices from mobile?
It depends on the provider. If you do field sales, ask about this feature from the start; we covered it in our e-invoicing on mobile article.
Can my integrator reject my invoice?
Format errors are caught before sending and you are asked to correct them. This means catching mistakes beforehand that you would otherwise have to notice yourself on the portal.
The right choice depends on your invoice volume and its integration with your basic accounting. The cheapest method is often the one that takes up the most time.
